Things to do until Enrollment

Congratulations on your admission to Okayama University!
Please check the procedures you need to follow from admission until enrollment depending on your program.
Additionally, we recommend that you purchase travel insurance before leaving your home country for Japan.

1. Undergraduate, Master’s degree, Doctoral degree


Student status To-do list
Undergraduate, Master’s students, Doctoral students Notification of eligibility for enrollment
Receive eligibility notification You can confirm whether or not you have passed the entrance exam and been admitted into the university using the following ways.
・School Bulletin Board (located at the University Union)
・University Website (the period for announcement of results is noted on the website)
・Letter of Acceptance (sent by mail)
In case of graduate school, it differs according to the graduate school. Please ask at the graduate school that you wish to apply for.
Enrollment procedure You will receive documents on admission procedures by mail. Please fill out and return the necessary documents by the specified deadline.
Obtain passport You need a passport issued by the government of your home country. You cannot enter Japan without it.

Certificate of
Eligibility
For applicable students, Okayama University will submit an application on your behalf. Please submit the specified necessary documents to the university. You will receive your Certificate of Eligibility issued by the Hiroshima Regional Immigration Bureau by Express Mail Service (EMS), or another service that can be tracked.
Obtain visa After your Certificate of Eligibility for Residence Status is issued, please apply for a visa in person at a Japanese embassy or consulate in the country where you are residing.
Renew residence
status
For students already residing in Japan on a visa other than “Student,” please change your status to “Student” after enrollment.
You must take your Letter of Acceptance as evidence to the Immigration Bureau, and follow the procedures to change or renew your residence status. Please come to the International Affairs Department to obtain the application forms.
Apply for
exemption from admission and/or tuition fees
If you wish to apply, first read the “Exemption from admission and/or tuition fees, and/or postponement of collection of admission and/or tuition fees section” on the website, and then download and submit the necessary documents within the specified period.

Admission notice to enrollment
Receive admission notice April enrollment: Notifications are sent by mail around the end of December of the previous year.
October enrollment: Notices are given by mail around the end of July.
Enrollment procedure Please pay admission fee: For students enrolling in April, payment is due within the specified period to the specified account. For students enrolling in October, please pay by mid-August to the specified account.
Obtain passport You need a passport issued by the government of your home country. You cannot enter Japan without it.

Sign a contract for a

apartment or
similar residence
Research students are not eligible for university student housing. Please find your own housing.
The university will not mediate between you and any agent. For international students who have difficulties in finding a guarantor, Okayama University can be their guarantor. The link to the procedure to request the university to serve as a guarantor for your housing is here.
After enrollment
Make bank
transfer of
admission and
tuition fees.
Apply for
scholarship
Please use the bank transfer form sent with the “Letter of Acceptance” to pay your admission and tuition fees by bank transfer.
There are currently no scholarships available for research students.

3. Exchange students

Exchange students Receive eligibility notification (admission notice) April enrollment: Notifications are sent through the partner university around December of the previous year.
October enrollment: Notifications are sent through the partner university around the end of June.
Enrollment procedure Admission and tuition fees are waived by agreement.
Obtain passport You need a passport issued by the government of your home country. You cannot enter Japan without it.
Apply for
Certificate of
Eligibility
For applicable students, Okayama University will submit an application on your behalf. Please submit the specified necessary documents to the university through the CESR system. You will receive your Certificate of Eligibility issued by the Hiroshima Regional Immigration Bureau by Express Mail Service (EMS) or another service that can be tracked.
Obtain visa After your Certificate of Eligibility for Residence Status is issued, please apply for a visa in person at a Japanese embassy or consulate in the country where you are residing.
Apply for a dormitory No application is necessary. Housing is provided by agreement. (A fee will be charged.)
